What to expect when you become a PillarForge Technology client.

Our Onboarding Philosophy

We onboard deliberately. The goal is stability first — understand your environment, reduce immediate risk, and establish clear support boundaries before expanding scope. Most clients move through a structured 30/60/90-day timeline.

Before Day One — Kickoff Checklist

To begin onboarding efficiently, we typically need:

  • Primary and backup points of contact
  • Current network and systems documentation (or access to discover it)
  • Admin credentials for supported systems (via secure password vault)
  • List of locations, users, and critical applications
  • Existing vendor contracts and renewal dates
  • Known pain points, outages, or security concerns
  • Compliance requirements (HIPAA, FERPA, PCI, etc.) if applicable

Days 1–30: Discover & Stabilize

  • Kickoff meeting and introduction to your service team
  • Environment discovery and asset inventory
  • Deployment of monitoring and management tools on supported devices
  • Helpdesk and portal access configured for your team
  • Documentation of critical systems and escalation contacts
  • Address urgent stability and security gaps

Days 31–60: Standardize

  • Establish patching, backup, and maintenance schedules
  • Implement baseline security controls (MFA, endpoint protection, email security)
  • Define support scope and device standards
  • Begin regular reporting on ticket trends and system health
  • Transition from reactive fixes to documented processes

Days 61–90: Optimize & Plan

  • Review onboarding outcomes with your leadership team
  • Identify technology risks, aging hardware, and license gaps
  • Develop a 12-month technology roadmap (vCIO engagement)
  • Refine service scope and discuss project priorities
  • Confirm compliance and backup test results
